Junior Coordinator, Residential Administration


The Coordinator, Residential Administration will be responsible for processing Above Guideline Increases (“AGI”) on properties that have had significant capital expenditures; as well as review and audit all receivable and collections reports. Also responsible for communication of various standardized procedures to the Property Management Companies, and auditing their adherence to the procedures (including legislated requirements).

Duties and Responsibilities

  • AGI – gathering information for filing AGI, scopes, PO’s, invoices, proof of payment, etc
  • Complete internal worksheet to determine if an AGI is warranted and get approval from Asset Management
  • Ensure all documents are sent to legal representative for filing at LTB, and communicate with the legal representative
  • Send out Notice of Hearings and schedule parties for attendance at hearing
  • Complete annual audit on sites that qualify for AGI’s
  • Complete monthly AGI audit on approved applications to ensure AGI is implemented properly
  • Complete daily rent collection report for Corporate Finance
  • Complete weekly collections reports for Property Management Companies
  • Audit all arrears on Dispositions, to ensure correct legal status is represented
  • Review and audit all past tenant files being sent to 3rd party collections
  • Communicate with PMC regarding filings, N1’s and other regulatory procedures as required
  • Assist collections companies resolve issue with tenant files
  • Assisting with incentive letters and mail mergers
  • Issue tenant letters as required ie. Rent receipt or past collection letter
  • Field tenant calls, resolve and/or redirect issues; maintain positive relations with tenants
  • Other administrative tasks as required of the Residential Administration Department
  • Review legal status on monthly submissions
  • Complete Monthly reports for 3rd parties companies for AR including legal status
  • Prepare recommendation reports for Asset managers
Relationship Building:
  • Liaise with other internal departments and team members regarding Above Guideline application ie. Capital expenditures and energy initiatives
  • Conduct day-to-day relations with third parties, including property managers, suppliers, consultants, and lawyers.


  • College diploma or Degree in Business
  • Paralegal License or very strong knowledge of RTA (Residential Tenancy Act)
  • 3-5 years experience in a related field
  • Working knowledge in Yardi
