Administrative Assistant, Finance


Overview

Reporting directly to the Executive Director of Finance, the Administrative Assistant will be responsible for the management of all administrative duties, calendar scheduling, internal/external communication and special projects as required.

Duties and Responsibilities
  • Provide direct administrative and office support to Finance department
  • Perform general office duties: photocopy, fax, scan, mail sorting, etc.
  • Daily bank deposits for all Starlight entities. Includes booking journal entries and sending deposit details to various property managers.
  • Manage all inquiries related to deposits and banking from property managers and Finance team
  • Handle all incoming and outgoing mail and couriers
  • Maintain electronic files, such as property tax bills
  • Perform daily cheque clearing control
  • Manage monthly cash call administration and approval process. Liaise with all Finance and Asset Management teams
  • Liaise with different departments to obtain and consolidate information required for projects such as property transition and set up (acquisition, disposition, etc.) 
  • Coordinating meetings and scribe meeting minutes as required
  • Treat all responsibilities with confidentiality and discretion
  • Assist with special projects and any additional duties as necessary
  • Provide reception coverage (approximately 2hrs/wk) and additional coverage as requested
Requirements
  • Post-Secondary Diploma in Office Administration, or relevant discipline
  • 2 years’ experience in an Administrative role preferred
  • Strong knowledge of office procedures and practices
  • Basic finance knowledge and relevant work experience
  • Keen attention to detail
  • Strong writing skills. Ability to draft memos, letters & basic documents
  • Proficient with Microsoft Office Suite (Outlook, Word, Excel, Power Point, Visio) 
  • Resourceful and flexible
  • Ability to take direction and move forward independently
  • Proven organizational and time management skills
  • Manual dexterity required to operate computer and peripheral
  • Interacts with employees, various management levels and the public at large
