Administrator, Canadian Commercial


Overview

Reporting directly to the Executive Director of Finance, the Commercial Administrator will provide support to the Commercial Department through administrative tasks, financial processes and special projects.

Duties and Responsibilities
  • Work closely with CFO, Asset Managers, Finance, Capex and support staff within the Commercial Department
  • Deal with various departmental inquiries, as well as mail/invoices, and redirect to the right person
  • Manage calendars and coordinate schedules
  • Prepare monthly financial reporting binder and save monthly reports onto the network
  • Label and mail bi-weekly cheque runs for accounts payable and prepare couriers as required
  • Corporate PO creation
  • Responsible for creating & maintaining templates for the Asset Management group (e.g. capex approval template, lease approval forms, etc.)
  • Implement processes and forms to establish smooth reporting by Asset Managers
  • Organize and plan meetings. Prepare agendas and meeting minutes
  • Maintain departmental filing system
  • Responsible for travel arrangements & conference attendance
  • Organizing conference calls
  • Expense reports for the CFO, VP of Asset Management and Executive Director of Finance
  • Corporate visa card reconciliation
  • Deposit slip preparation
  • Time management, vacation and sick day tracking for all departmental staff on commercial calendar
  • Perform general office duties: mail, photocopy, fax, document printing, scan, mail sorting and distribution, etc
  • Special projects as required
Requirements
  • College Diploma preferred
  • Excellent organizational skills, time management skills
  • Excellent communication skills, assertive, able to initiate new methods
  • Strong follow-up skills and able to deal with tact, diplomacy and confidentiality
  • Intermediate to Advanced computer skills in Excel, Word and PowerPoint
  • Able to work in a changing environment, fast-paced environment.
  • Able to deal with sensitive issues, confidentiality, and demonstrate reliability, loyalty and assertiveness
  • Tactful when dealing with sensitive issues
  • Able to prioritize tasks
  • Works well under pressure
  • Available for overtime and/or flexible hours
  • A “people” person
