Project Coordinator

Overview

Reporting to the Director, Capital Expenditures, the Project Coordinator is responsible for overseeing and managing daily departmental administration and residential development projects including timelines, schedule, notifications, approval processes, contracts, etc.

Duties and Responsibilities

Capital Expenditures & Suite Renovations

  • Work closely with Project Managers to coordinate schedules, communicate project progress, and assist with documentation and related processes.
  • Participate in tender and contract preparation, including coordinating tender receipt and opening.
  • Organize and attend weekly, bi-weekly, or monthly project-related meetings.
  • Monitor and issue tenant notifications to Property Managers; issue purchase orders as required.
  • Assist in maintaining up-to-date project timelines in accordance with project notifications and ensure accuracy of the Notification Tracker.
  • Communicate regularly with Property Managers and other stakeholders regarding invoices, purchase orders, change orders, and permit applications related to capital expenditures and suite renovations.
  • Maintain ongoing communication with vendors regarding site coordination, invoicing, purchase orders, payments, and permit applications.
  • Ensure the issuance of close-out checklists and the submission of all required close-out / warranty documentation.
  • Manage the Telecom process and associated project tracker.
  • Ensure proper execution and documentation for every project.
  • Manage the suite renovation administration panel setup for General Contractors and Project Managers.
  • Receive invoices and payment certificates; prepare them for approval and payment processing.
  • Update the suite reno admin panel for PMC mailing lists.
  • Assign vacation coverage for the Suite Reno portal for Project Managers and Asset Managers.
  • Release system-generated suite reno purchase orders.
  • Create manual suite reno change orders as needed.
  • Manage roller blind orders and manage related purchase orders
  • Provide vacation coverage for the Suite Reno Project Coordinator.
  • Offer general support for suite renovation tasks, including statement preparation, reporting, audits, and other related activities.
  • Provide reception coverage (approximately 2 hours per week) and additional coverage as requested.
  • Assist with special projects and perform other duties as necessary.

Requirements

  • Post Secondary Education either University Degree (i.e. Business or Engineering degree) or College Diploma (Business or Construction Management Program)
  • 2 – 3 years of relevant work experience
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint), Outlook
  • Strong Communication (listening, verbal and written), Interpersonal and Team Building skills with ability to work independently and handle priorities.
