Development Administrator


Reporting to the Executive Director of Capital Improvement & Development the Development Administrator will be responsible for the management of all administrative duties, travel, calendar scheduling, internal/external communication and special projects as required.

Duties and Responsibilities
  • Attend all internal meetings, prepare and distribute minutes
  • Provide administrative and office support and maintain department calendar
  • Ensure all documents are filed and distributed accordingly, assist with project related filing as required
  • Assist analysts and managers in the preparation of presentations/ reports as required
  • Meeting preparation as well as scanning, printing and photocopying support
  • Review documents, reports, and correspondence for format, content, grammar, and spelling as required
  • Handle all incoming and outgoing mail and couriers. Prepare associated cover letters as required
  • Assist with boardroom bookings, calendar invites and conference call line bookings
  • Invoicing - (i) track all invoices, (ii) ensure correct bill to and property information is shown and (iii) process and receive invoices at the direction of the lead Manager on the property
  • Create and track purchase orders, change orders and cheque requests as requested
  • Oversee new vendor onboarding, facilitate and track vendor approvals
  • Assistance in the delivery and pick up of plans, permits, deposits is required
  • Assist with scanning of expense receipts associated with out of province travel
  • Post-secondary Diploma in Office Administration or relevant discipline
  • 3 years experience in an administrative role
  • Superior proficiency with Microsoft Office Suite
  • Ability to draft memos and letters
  • Proven organizational and time management skills
  • Valid driver’s licence and personal vehicle is preferable
