Leasing Documentation Coordinator, Canadian Commercial


The Lease Coordinator provides organizational and administrative support to the Canadian Commercial team and is responsible for administrative activities related to office and retail tenants including preparing and reviewing leasing documentation. The Lease Coordinator will also assist the Canadian Commercial team in responding to special requests/projects and providing real-time updates on the status of leasing documentation and the closings of final agreements. This position reports to the Manager, Commercial Leasing.

Duties and Responsibilities
  • Support in the preparation of various agreements, including offers to lease, landlord proposals, lease agreements, amendments, renewals, surrenders, expansions, terminations, consent agreements, licenses and estoppel certificates, as required by members of the Canadian Commercial team
  • Review and interpretation of tenants' counter of lease documentation to provide support resolution of same with the appropriate Canadian Commercial team member, and/or seek third party legal expertise when required
  • Support the approval processes and coordinate all related leasing documentation approvals prior to distribution to tenants
  • Track all leasing documents prepared by the landlord and follow-up with tenants and/or internal stakeholders to ensure progression to fully executed documentation as quickly as feasible
  • Distribute all fully executed documents to both tenants and the Canadian Commercial team
  • Track and process all lease documentation to ensure all information is accurately entered into the company's internal databases and prepare lease abstracts when required
  • Provide real-time leasing updates to the Canadian Commercial team upon request
  • As needed, assist with acquisitions, dispositions, financing and other special projects
  • Contribute positively towards building the company's social media presence in alignment with company policy and objectives
  • College diploma or university degree preferred
  • 2-3 years of relevant and equivalent workplace experience in the commercial real estate sector
  • Working knowledge of lease documents is an asset
  • Ability to handle multiple demands and manage tight deadlines i.e. time-management, organizational, and multi-tasking skills
  • Proficient in Microsoft Outlook, Word and Excel
  • Detail oriented, self-motivated and resourceful, with strong interpersonal and communication skills
  • Multitasker who enjoys working independently as well as in a fast-paced team environment
  • Dedication to providing exceptional and professional customer service
