Administrator, Capital Expenditures, Canadian Multi-Family


Overview

Reporting to the Vice President of Capital Improvement & Development and assisting the Executive Director of Procurement & Technical Services, the Administrative Assistant, CAPEX and Development will be responsible for the management of all administrative duties, travel, calendar scheduling, internal/external communication and special projects as required.

Duties and Responsibilities
  • Attend all internal meetings, prepare and distribute minutes
  • Provide administrative and office support and maintain department calendar
  • Ensure all documents are filed and distributed accordingly, assist with project related filing as required
  • Assist in the preparation of presentations and reports as required
  • Meeting preparation including scanning, printing and photocopying support
  • Review documents, reports, and correspondence for format, content, grammar, and spelling as required
  • Process all incoming and outgoing mail and couriers. Prepare associated cover letters as required
  • Assist with boardroom, calendar invites and conference call line bookings
  • Create cheque requests as required
  • Maintain regular status reports by updating the project database
  • Oversee new CAPEX/Energy vendor onboarding, facilitate and track vendor approvals
  • Assist in the delivery and pick up of plans, permits, deposits is required
  • Assist with scanning expense receipts associated with out of province travel
  • Provide reception coverage (approximately 2hrs/wk) and additional coverage as requested
  • Other duties within the scope, spirit and purpose of the job, as requested by management
Requirements
  • Post-secondary Diploma in Office Administration or relevant discipline
  • 3 years’ experience in an administrative role
  • Superior proficiency with Microsoft Office Suite
  • Ability to draft memos and letters
  • Proven organizational and time management skills
  • Valid driver’s licence and personal vehicle is preferable
