Coordinator, Asset Management, Canadian Multi-Family


Overview

Reporting to the Vice President, Asset Management, the Coordinator will be responsible for the coordination and administration of all building operations and activities for the Canadian multi-family asset management portfolios. This role will also be responsible for the creation and maintenance of databases for all documents relating to the portfolio.

Duties and Responsibilities
  • Liaise with different departments to obtain and consolidate information required for property transition and set up (acquisition, disposition, etc.) 
  • Assist with data entry for assumptions including but not limited to inputs for budgets, reports, and ad-hoc projects  
  • Maintain capex administration of internal systems providing visibility to all AMs, directors, VP to access
  • Coordinate with internal and external stakeholders for property tours and property specific information as needed
  • Coordinate with IT, Marketing, Finance and third-party property managers to ensure newly acquired properties are setup in a timely manner across all systems 
  • Coordinate with Residential Operations team on information requests pertaining to Above Guideline Increases (AGI), municipal requirements, and document related requests (RentSafeTO, etc.)
  • Coordinate with Marketing and Leasing team to ensure readiness of rentable units (including staging, photography, mystery shop coordination etc.)
  • Conduct quarterly audits of internet listing to ensure building information is accurate across all sources
  • Maintain tracker for PO’s that are created by the PMCs 
  • Maintain a communication plan for tenants, govern/track the various notices and its related dates to ensure timely distribution of information at the building level including scheduling and coordinating tenant meetings with PMC when needed
  • Obtain all necessary signatures and approvals to fill out development related applications and coordinate necessary payments to various municipalities and other necessary documentation
  • Coordinate and track city orders/vendor undertakings to ensure projects are on schedule and deadlines and budgets are met
  • Track ongoing insurance claims, payments received and coordination with legal and finance for necessary actions
  • Coordinate with third party vendors for vendor setup, including creating budgets and issue PO’s.
  • Maintain and file necessary property records that are always kept current 
Requirements
  • Post-secondary diploma 
  • +2 years experience in a related field
  • Working knowledge of Yardi an asset
  • Excellent time-management, prioritizing, and multi-tasking skills
  • Excellent oral and written communication skills
  • Attention to detail 
  • Analytical and problem-solving skills
  • Interpersonal skills, work well with others
