Project Coordinator, Commercial Capital Expenditures


Overview

Reporting to Project Manager(s), the Project Coordinator is responsible for overseeing and managing daily departmental administration as well as coordination of projects’ design and construction, timelines, scheduling, coordination with tenants and property management, tendering, approval processes, contracts, etc.

Duties and Responsibilities
  • Work closely with project manager(s) to coordinate schedules, prepare project status and progress reports and assist with documents and processes, including but not limited to, project deficiencies, updates, photographs, milestones, etc.
  • Participate in tender, analysis and contract preparation including coordinating tender receipt and opening and tender meetings
  • Report and ensure proper documentation, compliance with processes, and receipt of all closeout documents for all projects
  • Administer and issue purchase orders ("PO"), change orders ("CO") and manage all related logs to ensure adequate tracking of project budgets
  • Assist with monitoring and tracking of project budgets, timelines, costs and updates including preparing minutes and notifying stakeholders as required
  • Assist and communicate with consultants, contractors, suppliers on an ongoing basis including verification of invoices, vendor accreditation, site-related coordination, permit applications, etc.
  • Coordinate with tenants, asset managers and leasing representatives to monitor and assist with project requirements as defined in various plans and agreements
  • Assist with the training and use of implemented processes and programs
  • Poses a willingness to learn and a positive attitude towards others and scope of work
  • Other duties as required
Requirements
  • Post Secondary Education either University Degree (i.e. Engineering or Architectural Technologist) or College Diploma (Project Management Program)
  • Minimum of 2-5 years of relevant work experience in project management
  • Commercial real estate experience is an asset
  • Proficient with Microsoft Office (Word, Excel, Access, Outlook)
  • Strong working knowledge of MS Project is preferred
  • Familiar with AutoCAD and able to comprehend building construction drawings
  • Excellent written and verbal communication skills able to understand and produce various reports, documents, manuals, checklists, etc.
  • Negotiation, problem-solving, multi-tasking and time management skills required with strong attention to detail
  • Driven and self-motivated with ability to work independently and collaboratively
  • Valid driver’s licence and personal vehicle is preferred
