Leasing Coordinator, Canadian Multi-Family


The Leasing Coordinator will be responsible for providing accurate and timely administrative and leasing support to the National Leasing team.  This individual will be required to be self-motivated, detailed oriented and efficient in order to support multiple activities on behalf of the team.

Duties and Responsibilities
  • Monitor status of application documents in Property Vista i.e. Proof of income to determine completion and reach out if we need to assist with the technology Market research and analysis as necessary
  • Track, process and maintain internal file storage and ensure accuracy of information (i.e.: construction addendums up to date)
  • Coordinate model units and model unit moves with PMC 
  • Coordinate and maintain WOW fridge inventory
  • Collect and maintain weekly leasing reports
  • Direct point of contact with marketing and PMC marketing regarding Rentsync platform, bump ups and accuracy
  • In conjunction with Canadian Multi-Family marketing, coordinate open houses
  • Monitor all rental advertising
  • Gather necessary leasing information from Yardi
  • Gather weekly Unit Availability reports from Asset Management 
  • Coordinate team meetings and arrange leasing agent pairings
  • Maintain and communicate internal leasing update
  • Track and maintain agent schedules
  • Manage agent portfolio list of changes
  • Coordinate with PMC for access (keys, lock boxes etc…)
  • Attend meetings and take detailed meeting minutes
  • Provide monthly leasing numbers to corporate finance
  • General administration support for the leasing department
  • Conduct landlord reference checks
  • Other duties as required
  • Strong administrative skills 
  • Driver’s license an asset
  • Bondable 
  • Computer literacy, including advanced working skills of MS Word, Excel, powerpoint and outlook e-mail required
  • Professional, responsive, and positive work attitude is essential
  • Superior telephone manners and excellent verbal, written and interpersonal communication skills to communicate with all levels of the organization
  • High degree of resourcefulness, flexibility, and adaptability
  • Excellent teamwork and team building skills
  • Ability to interpret and implement company policies and procedures
  • Previous experience in handling confidential or sensitive information
  • Strong organizational, time management and multitasking skills
  • High level of sound and independent judgment, reasoning, and discretion
