Senior Coordinator, Residential Administration


The Senior Coordinator, Residential Administration will be responsible for reviewing and auditing all receivables and collections reports. Other responsibilities include communication of various standardized procedures to the Property Management Companies and auditing their adherence to the procedures (including legislated requirements).

Duties and Responsibilities
  • Assist in gathering information for filing Above Guideline Increase (AGI), scopes, Purchase Orders (PO), invoices, proof of payment, etc.
  • Review and audit all past tenant files sent to third party collections
  • Communicate with Property Management Companies (PMC) regarding filings, N1’s and other regulatory procedures
  • Assist with incentive letters and mail merges
  • Issue tenant letters as they relate to rent receipts or past collections
  • Coordinate, manage and escalate tenant issues by liaising with tenants, property managers and asset managers
  • In conjunction with the development and asset management teams, interact and lead onsite tenant meetings
  • Communicate with tenants regarding building issues and projects
  • Maintain legal spreadsheet as it relates to tenant applications
  • Maintain phone line spreadsheet and responsible for ordering new phone lines on new acquisitions
  • Responsible for weekly rent collections reports
  • Work with the Development and Asset Management teams to coordinate tenant meetings
  • Audit city work order permits
  • Complete weekly building audits and quality tours
  • Analyze and monitor the tenant satisfaction surveys and statistical results to identify trends and improvement initiatives
  • Daily communication with third parties, including property managers, suppliers, consultants, and lawyers
  • Prepare recommendation reports for Asset Managers
  • Review legal status on monthly accounts receivable submissions
  • Complete monthly accounts receivable reports for PMC including legal status
  • Assist with other external and internal communication duties as needed
  • Assist in providing solutions that comply with Residential Tenancy Act/Landlord Tenant Board and company policy and standards
  • Other administrative tasks and duties as required by the Residential Administration Department and management
  • Post-secondary diploma
  • Paralegal License or very strong knowledge of RTA (Residential Tenancy Act) and LTB (Landlord Tenant Board)
  • +5 years experience in a related field
  • Working knowledge of Yardi
  • Excellent time-management, prioritizing, and multi-tasking skills
